Position Title: Office Administrator  

Position Reports to: Lead Pastor  

Position summary: The office administrator works in partnership with the pastors, part-time staff, and a vibrant, progressive, and growing congregational community. Christ Church Lutheran is a congregation of the ELCA, a Reconciling in Christ congregation, and a National Historic Landmark. We are a small to midsize congregation with a small, collaborative staff and many volunteers--everyone pitches in. The person in this position carries out administrative and secretarial functions for the church, assists the volunteer treasurer with bookkeeping, and manages congregational and tenant building use. 

The office administrator position is a 30-35 hours per week, benefit-eligible position, reporting to the lead pastor. This is an on-site position, Monday-Friday.

Major Responsibilities/Activities  

Administration  

  • Receptionist: Greet/assist visitors, answer and direct phone calls, take phone  messages, answer emails, handle mail, manage printing and copying, maintain electronic files, manage/maintain church calendar, regularly communicate with full-time and part-time staff, renters, and volunteers

  • Supplies and equipment: Purchase supplies as needed for the office, building, and worship; maintain upkeep of office equipment; manage invoices, etc.

  • Recordkeeping: Maintain church records (e.g., membership, official acts), electronic database management, manage contracts with vendors and renters

  • Volunteer Coordination: Recruit, schedule, equip, and support worship volunteers and assist with other volunteer coordination in church ministry and events

Building Use and Tenant Coordination

  • Building Use: Coordinate building use and serve as the primary contact for congregation and rental groups.

  • Rental Coordination: Manage rental invoices, respond to all building use inquiries, prepare contracts, arrange for event logistics.

  • Communication: Serve as the point of communication for long-term tenants, including facilities needs, and for event rentals.

Financial management 

  • Member Giving: Perform data entry into church management software (e.g., Breeze) to accurately capture member donations; acknowledge donors and provide records of their giving

  • Accounts Payable: Manage invoices, set up new vendors/payees, handle reimbursement requests, and initiate timely payments

  • Bookkeeping: At least monthly, review posted transactions in the accounting system, enter descriptions and the correct budget codes for each, and upload/attach supporting documentation; generate budget reports as needed; provide assistance to the volunteer church treasurer  

Communications  

  • Print media: Produce worship bulletins, monthly newsletter, flyers, and other materials in collaboration with staff and volunteers

  • Web and social media: Update website in a timely manner. Collaborate with volunteers on an active social media presence. Draft weekly email updates. Create and post a weekly worship video.

Other office, administrative, and general support duties as assigned. 

Position Qualifications  

  • Associate’s degree or equivalent required; Bachelor's degree preferred  

  • Two years’ relevant experience in a church, non-profit, or related setting required; 3+ years’ experience preferred  

  • Demonstrated skills in designing and writing communications materials required; superior writing and organizational skills preferred  

  • Proficiency with Google Workspace, Microsoft Office, and web-based technology including Canva and social media 

  • Experience with online accounting systems preferred, especially QuickBooks Online

  • Ability to work with minimal supervision, with initiative, and good judgment  

  • Ability to communicate effectively with a wide range of people  

  • Ability to think creatively, prioritize, and problem solve 

  • Willingness to learn new systems

  • Strong interpersonal skills  

  • Excellent time management skills  

  • Ability to manage workflow interruptions effectively and meet deadlines  

  • Detail oriented  

  • Familiarity with faith based or church communities a plus

You are always welcome to worship with us, but this is not a requirement. 

Salary Range: $50,000 to $55,000 depending on experience and qualifications. Benefits eligible
